WhatsApp bot

WhatsApp appointment management for clinics

Patients in this region message. They do not email and they increasingly do not call. The bot books, confirms, reminds and follows up on the channel they already have open, in the language they wrote in.

Booking and confirmation without a phone call

A patient messages the clinic number, is offered genuine availability and leaves with an appointment. Nobody at the desk typed anything, and it works after hours.

  • Availability offered live from the real calendar
  • Arabic and English, matched to the message received
  • Confirmation, with the option to reschedule in one reply
  • Deposits collected through a payment link where required
  • Handover to a human the moment the question is not routine

Reminders that change attendance

No-shows are a scheduling problem the day before, not an attitude problem on the day. Reminders go out on a schedule you set, and a patient who cannot come says so early enough for the slot to be reused.

  • Reminder timing set per specialty and per service
  • One-tap confirm, cancel or reschedule
  • Freed slots offered to the waiting list automatically
  • Session reminders through a whole course
  • Missed-appointment follow-up rather than silence
The Medicolize app across several phones: the chart, the patient modules, the day’s numbers and the stock count, all on the phone a clinician already carries

Follow-up and recall on the same thread

The message after the visit matters as much as the one before it. Post-visit instructions, session follow-up and recalls all run on the same conversation the patient already has.

  • Post-visit instructions sent automatically by service
  • Follow-up when a course session is missed
  • Recalls by specialty at the interval the clinic sets
  • Feedback requested while the visit is still fresh
  • The whole thread kept on the patient record

Who it takes work off

Most of what reception types all day is one of about six messages.

Reception

The routine traffic answered without them, including out of hours.

Doctors

Patients who arrive, prepared, having had their instructions.

Owners

No-show rate, confirmation rate and what follow-up actually recovers.

Messaging by hand versus a bot

The clinic is already on WhatsApp. The question is who is typing.

The way it is done now

  • Reminders typed one at a time
  • Nothing happens after hours
  • Cancellations arrive too late to reuse
  • Instructions given verbally and forgotten
  • Conversations on a personal phone

With Medicolize

  • Sent automatically per appointment
  • Booking and confirmation run overnight
  • Early enough to offer the slot on
  • Sent in writing after the visit
  • On the patient record, where anyone can see it
Questions

WhatsApp bot — what clinics ask

Is this the official WhatsApp Business API?

Yes. The clinic number is verified and messages are sent through the official API, not through an unofficial automation that risks the number being blocked.

Does it reply in Arabic?

It replies in the language the patient wrote in. Arabic and English are handled from the same set of templates, which the clinic edits.

What happens when a patient asks something the bot cannot answer?

It hands over to a person, with the conversation so far attached, rather than looping. The handover threshold is something you set.

Can it take a deposit?

Yes, through a payment link in the conversation, which is how most clinics reduce no-shows on high-value sessions.

Does it work for a course rather than a single appointment?

Yes. Each session in a course gets its own reminder, and a missed session triggers follow-up rather than the course quietly stalling.
