Scheduling

Appointment scheduling for medical clinics

A clinic diary has to hold more than a name and a time. It has to know which doctor, which room, how long this kind of visit takes, and whether this is one appointment or the fourth of ten.

One diary across doctors, rooms and branches

The constraint in most clinics is not the doctor, it is the room or the device. Booking checks both, so a laser session is not scheduled into a room that is already occupied.

  • Doctor, room and equipment checked together
  • Per-service durations rather than one fixed slot length
  • Branch-level calendars for groups
  • Colour by status: booked, confirmed, arrived, in progress, done
  • Drag to move, with the patient notified automatically

Recurring sessions booked once

Ten physiotherapy sessions should not be ten separate booking conversations. Book the pattern — twice a week for five weeks — and the whole block lands in the diary at once.

  • A whole course booked as a repeating pattern
  • Clashes shown before the block is confirmed
  • Individual sessions movable without breaking the course
  • Remaining sessions visible from any one of them
  • Reminders sent per session, not per course

Online booking and the waiting list

The appointments a clinic loses are the ones nobody was there to take. Patients book from a link, and cancellations are offered to the waiting list before the slot is simply lost.

  • Online reservation from a link, the website or WhatsApp
  • Only real availability offered
  • Waiting list contacted automatically when a slot frees
  • Deposits collected at booking where the clinic asks for them
  • Confirmation, reminder and follow-up sent without staff action

Who lives in the diary

The calendar is the busiest screen in most clinics.

Reception

One screen, every doctor, with the room check already done.

Doctors

Their own day, with the patient history one tap from the appointment.

Owners

Utilisation by doctor, room and branch, and where the gaps are.

A paper diary versus a clinic calendar

Most of what goes wrong is a clash nobody could see.

The way it is done now

  • Double-booked rooms found on the day
  • Ten sessions booked ten times
  • Reminders sent by hand, or not at all
  • Cancellations leaving an empty hour
  • Utilisation nobody can measure

With Medicolize

  • Room and device checked at booking
  • A course booked as one pattern
  • Sent automatically per session
  • Offered to the waiting list
  • Utilisation per doctor, room and branch
Questions

Scheduling — what clinics ask

Can it book by room and equipment, not just doctor?

Yes, and for most specialty clinics that is the binding constraint. A booking checks the doctor, the room and the device together before it is accepted.

How are recurring sessions handled?

A course is booked as a pattern — for example twice a week for five weeks — and the whole block is placed at once, with any clashes shown before it is confirmed. Individual sessions can then be moved without breaking the course.

Can patients book themselves?

Yes, from a link, your website or WhatsApp. They see only genuine availability, and you can require a deposit at the point of booking.

What happens when someone cancels?

The slot can be offered automatically to the waiting list, so a cancellation becomes a different patient rather than an empty hour.

Does it work across several branches?

Yes. Each branch has its own calendar and its own rooms, and a group can see all of them side by side.
