Patient management

Patient management system for clinics

Most clinics have thousands of patients and no way to act on them. Search that finds anyone in a second, a row that answers the question before you open it, and lists you can actually do something with — who is owed a recall, who stopped mid-course, who never came back.

A list you can search the way people actually ask

Reception is looking up a patient while the patient is standing there. Search runs across name, phone, file number, national ID and insurance member number at once, and tolerates the spelling being slightly off in either language.

  • One search box across name, phone, file number and ID
  • Arabic and English names matched together
  • Insurance member number searchable directly
  • Recent patients one tap away
  • Duplicate suggestions before a second file is created

The row tells you what you need before you open it

Opening five files to find the one you want is the slow part. The row carries the balance, the last visit, the next appointment and the doctor, so most questions are answered without a click.

  • Outstanding balance and last payment
  • Last visit and which doctor saw them
  • Next appointment, if there is one
  • Active course and sessions remaining
  • Insurance company and policy status

Lists worth acting on

A patient list is only useful if it produces work. Segments turn it into a call sheet: patients mid-course who stopped, patients due a recall, patients with a balance, patients who came once and never returned.

  • Patients who stopped part-way through a course
  • Recalls due this month by specialty
  • Balances outstanding beyond a chosen age
  • Seen once, never returned
  • Any segment exportable or sent straight to WhatsApp

Who uses the patient list

Different people need different things from the same list.

Reception

Find anyone in a second, and see the balance before the conversation starts.

Marketing

Segments that produce a campaign rather than a spreadsheet export.

Owners

How many patients are active, and how many quietly stopped coming.

A spreadsheet versus a patient system

The patients are already there. The question is whether anything happens to them.

The way it is done now

  • Search that only works if you spell it right
  • Opening the file to see the balance
  • Duplicates discovered months later
  • No way to find who stopped mid-course
  • Recalls remembered, or not

With Medicolize

  • Matched across languages and fields
  • The balance on the row
  • Flagged before the file is created
  • A list of exactly those patients
  • Recalls due, listed and assignable
Questions

Patient management — what clinics ask

What does a patient management system do that a spreadsheet does not?

It connects the patient to everything else. A row in a spreadsheet is a name; a patient in Medicolize carries their record, their balance, their appointments, their insurance and their course history, which is what makes segments like "stopped after session three" possible at all.

Can it find patients by Arabic and English spelling?

Yes. Names are matched across both scripts, and search tolerates the common variations rather than requiring an exact match.

How does it prevent duplicate files?

When a new patient is created with a phone number or ID that already exists, the existing file is offered before the new one is saved. Duplicates found later can be merged with their history intact.

Can we message a segment directly?

Yes. Any segment can be sent a templated WhatsApp or SMS message, which is how recalls and course follow-ups are usually run.
