QR codes

QR codes for clinics

The queue at reception is mostly people filling in a form they could have filled in at home. A code on the confirmation message, the door and the invoice moves three of those jobs off the desk entirely.

Registered before they arrive

The medical history, the consent and the contact details do not need a clipboard. A code in the confirmation opens the form on the patient’s own phone, and what they enter lands on their record.

  • Registration and medical history completed before arrival
  • Consent read and signed on the patient’s phone
  • What they enter goes onto the record, not into an inbox
  • A form per specialty, so dermatology and physiotherapy ask different things
  • Arabic or English, chosen by the patient

Checked in without the desk

A code at the door or on the confirmation marks arrival. Reception sees the patient is here without anyone saying so, and the clinician sees the room is ready.

  • Self check-in from the confirmation message or a code at the door
  • Arrival visible to reception and to the clinician at once
  • Late arrivals flagged against the appointment they affect
  • Works on the patient’s phone, with no app to install
  • A code per branch, so arrivals land in the right calendar

On the invoice, because it has to be

In Saudi Arabia the invoice QR is not a convenience, it is the requirement. It carries the seller, the VAT number, the timestamp and the totals, generated with the document.

  • ZATCA phase two QR on every invoice
  • Seller, VAT number, timestamp and totals encoded
  • Generated with the invoice, not added afterwards
  • The same code on the printed and the emailed copy
  • Credit notes carrying their own code

Who a code saves time for

Every one of these jobs currently happens at the desk, which is the one place in the clinic that cannot be in two places at once.

Reception

Fewer forms to type up and fewer people waiting to say they arrived.

Patients

Their own phone, before they leave home.

Finance

The invoice QR generated rather than added.

A clipboard versus a code

The same information ends up on the record. One route needs someone to type it.

The way it is done now

  • A form filled in at the desk
  • History typed up afterwards
  • Arrival announced to reception
  • Consent on paper, filed later
  • An invoice QR added by a second tool

With Medicolize

  • A form filled in at home
  • History straight onto the record
  • Arrival marked by the patient
  • Consent signed and stored with the visit
  • Generated with the invoice
Questions

QR codes — what clinics ask

What do patients need to scan a code?

The camera on their phone. There is no app to install and nothing to sign up for — the code opens a page, in Arabic or English.

Can the registration form differ by specialty?

Yes. A dermatology intake and a physiotherapy intake ask different questions, so the form is set per specialty and per branch.

Does self check-in work if the patient has no data?

There is a code at the desk as well, and reception can always check a patient in the old way. The code removes the queue, it is not the only route through it.

Is the invoice QR the ZATCA one?

Yes. It carries the seller, VAT number, timestamp and totals required for phase two, and it is generated as part of the invoice rather than added by a second tool.

Where does the information the patient enters go?

Onto their record, against the visit it belongs to — not into an inbox for somebody to copy across.
