Billing & accounts

Medical billing and clinic accounting

Every figure should trace back to something that happened: a consultation, a session, a procedure. When the invoice is generated from the record rather than typed from it, the month closes as a report you read instead of an investigation you run.

Invoices built from what was actually delivered

The service is recorded once, at the point of care, and becomes the invoice line. Nobody retypes it, which is where most billing errors and most lost revenue come from.

  • Invoice lines generated from delivered services and sessions
  • Package draw-down applied automatically
  • Insurance share and patient share split on the same document
  • Discounts recorded with who approved them
  • Arabic or English invoice, printed or sent as a link

Expenses, not just income

Knowing what came in is half a business. Rent, salaries, consumables, device instalments and supplier invoices sit in the same ledger, so profit is a number rather than an estimate.

  • Recurring monthly expenses posted automatically
  • Supplier invoices matched against inventory received
  • Expense categories that reconcile to the P&L
  • Per-branch and per-department cost allocation
  • Petty cash and treasury movements with a name against each

Money you are owed, before it ages

Receivables are where clinic profit quietly leaks. What is outstanding, from whom, and for how long is on one screen rather than assembled at the end of the quarter.

  • Patient balances by age
  • Insurance claims outstanding by company
  • Package value paid but not yet delivered, held separately
  • Collection chased over WhatsApp from the same screen
  • Write-offs recorded rather than lost

A receipt book versus a ledger

Questions

Billing & accounts — what clinics ask

Does it handle insurance and cash patients on the same invoice?

Yes. The covered share and the patient share appear on one document, with the insurer’s rules applied from their price list rather than from memory.

How are packages treated in the accounts?

Money taken for sessions not yet delivered is held as deferred revenue and recognised as each session happens, so the month’s income reflects work actually done.

Can it produce an income statement?

Yes, per branch, per department and per period, built from the same ledger the invoices and expenses post into.

Does it support electronic invoicing?

Yes where the market requires it, including ZATCA-compliant invoicing for Saudi Arabia, generated as part of the invoice rather than as a separate step.

Can doctors see only their own numbers?

Yes. A doctor can be limited to their own production and commission, while the owner sees the whole clinic.
