Plans & packages

Treatment plans, sessions and packages

Most clinic software prices a visit. Aesthetic, dermatology and physiotherapy clinics sell a course — ten sessions, a protocol, a package — and the money, the schedule and the clinical progress all belong to the course rather than to any one appointment.

Price the course, not the appointment

A patient agreeing to ten sessions is agreeing to one thing. Quote the block, take a deposit or instalments against it, and let each session draw down from what was already paid rather than raising a fresh invoice every time.

  • Packages priced as a block, with the per-session value derived
  • Deposits and instalments held against the package
  • Each session draws down automatically as it is delivered
  • Sessions remaining visible to reception and to the patient
  • Expiry dates where a package has one
A treatment plan in Medicolize covering fillers, lasers and mesotherapy, with each procedure marked planned, in progress or completed

Progress that is comparable across the block

Session six only means something next to session one. Notes, measurements and photographs are recorded against the course, so improvement is something you can show rather than something you assert.

  • Structured notes per session, using the same fields each time
  • Before and after images held against the protocol
  • Measurements tracked across the course where the specialty uses them
  • A printable progress summary for the patient or the insurer
  • Clinician handover without losing the thread
Automatic post-treatment steps in Medicolize, triggered when a session is recorded

Courses that stop half-way are the real loss

A patient who stops after session three has paid for three and the clinic has lost the other seven. Incomplete courses are surfaced as work rather than discovered at the end of the quarter.

  • Stalled courses listed with how long since the last session
  • Automatic follow-up when a booked session is missed
  • The value still outstanding on the package
  • Completion rate by doctor and by package
  • Which packages are finished and which are abandoned

Who a course touches

A package is sold once and delivered many times, which is why it crosses so many people.

Doctors

The protocol, the last session and what is due next, without reconstructing it.

Reception

Sessions remaining and what is paid, at the counter, without asking anyone.

Owners

Completion rate, deferred revenue and where courses stall.

Selling visits versus selling courses

The difference shows up in the money and in the outcome.

The way it is done now

  • An invoice per visit
  • Sessions remaining kept in someone’s head
  • Progress described from memory
  • Abandoned courses noticed at year end
  • Deposits reconciled by hand

With Medicolize

  • One package, drawn down per session
  • On the patient row
  • Structured notes and images across the block
  • Listed the week they stall
  • Held against the package and applied automatically
Questions

Plans & packages — what clinics ask

What is the difference between a treatment plan and a package?

A treatment plan is the clinical intent — what will be done and in what order. A package is the commercial form of it — how many sessions, at what price, paid how. Medicolize holds both against the same course so the two never drift apart.

Which specialties use this most?

Dermatology and aesthetics, physiotherapy, slimming and nutrition, and any clinic selling a block of sessions rather than single consultations. Psychiatry uses the structure for recurring follow-up rather than for packages.

What happens if a patient stops part-way?

The course is flagged as stalled, the remaining value stays visible as deferred revenue rather than being counted as earned, and the patient appears in the follow-up list.

Can a package be transferred or refunded?

Yes. Remaining sessions can be refunded or moved, and the adjustment is recorded against the package rather than as a loose credit note.

Does insurance work with packages?

Where the insurer covers the course, the covered share is applied at package level and the patient share is what draws down per session.
