| Settings | Branches, shifts, staff, expense types and the reasons a drawer can be off. |
|---|---|
| Daily closing | Date, branch, shift, who opened and closed, opening float, invoiced total, cash, card, transfer, payment links and insurance pending. Petty expenses, expected cash and the difference are worked out; a difference with no reason turns red. |
| Petty expenses | Each expense paid from the drawer: date, shift, type, amount, who paid it and whether there is a receipt. They come off the expected cash on their own. |
| Closing slip | Choose a date and shift and an A5 slip fills in, with signature lines for the person closing and the reviewer. |
| Summary | The month’s differences by shift and by who closed, collection by payment method and the same-day collection rate. |
How to use it
Record expenses
Each payment from the drawer, as it happens, with the shift.
Close the shift
Enter the float, what came in by method, and the cash counted.
Explain any difference
Pick a reason. An empty reason stays red until it is filled.
Print and review
Print the A5 slip, sign it, and read the summary at month end.
Who it is for
Front desk teams and the manager who reviews their closings. It opens on September at the main branch, two shifts a day. The evening shift comes up 10 to 15 short on most days, three of them with no reason written, and the summary puts the month’s total in red: small, regular, and easy to miss one day at a time.

Questions
Does it work in Google Sheets?
Yes. Upload it to Google Drive and open it with Google Sheets. It uses SUMIFS, COUNTIFS, INDEX and MATCH, which both handle.
Can I change the currency?
Yes. Pick it once on the Settings sheet.
Why is insurance pending a separate column?
Insurance is invoiced at the visit but paid later, so it is not cash collected that day. Keeping it apart is what makes the same-day collection rate honest.
Is my data stored anywhere?
No. The file is yours, on your computer or your own Drive. Nothing you type reaches Medicolize.
A closing that adds itself up
In Medicolize every payment is recorded against its invoice and shift, so the expected cash is already known when the drawer is counted, and a variance is recorded with its reason rather than absorbed. Thirty minutes on your own clinic.
