How to use it
Set the floats
Each branch with the cash it holds, the staff and your expense types.
Record each payment
Who paid, who approved, and whether the receipt is attached.
Read the month
Look for red cells: a type that doubled needs a question.
Request the top-up
Print the request for the period, attach the receipts and sign.
Who it is for
Clinic managers and accountants who hand a small float to reception or a branch and want it accounted for every month. The sample covers August and September 2026 at two branches; in September urgent consumables double, which usually means stock is running out before the order arrives.
Questions
Does it work in Google Sheets?
Yes. Upload it to Google Drive and open it with Google Sheets. It uses SUMIFS, COUNTIFS, INDEX and MATCH, which both handle.
Can I change the currency?
Yes. Pick it on the Settings sheet. The amounts are numbers, so the sums do not change.
Is my data stored anywhere?
No. The file is yours, on your computer or your own Drive. Nothing you type reaches Medicolize.
Can each branch keep a different float?
Yes. Each branch has its own float on Settings, and its balance only counts its own payments and top-ups.
Petty cash inside the treasury
In Medicolize the petty cash drawer is an account in the treasury with its own balance per branch, and each expense is posted against the account that paid it. Thirty minutes on your own clinic.
