Daily closing for clinics: cash, card and transfers without differences

In most clinics the day ends with one question: how much is in the drawer? The answer tells you nothing, because the right question is: how much should be in the drawer? That is the difference between counting cash and closing the day, and here is how to make it 15 minutes rather than an hour.

Invoiced and collected are two different numbers

Invoices issued today: 24,300 SAR. Collected: 19,800. The 4,500 gap is not an error. It is 3 patients who paid part and owe the rest, and an insurance invoice waiting for its company.

Closing starts here: what was invoiced, what was collected against it, and what remains due by patient name. Receivables move automatically to the follow-up list, not to a sticky note.

Collected, by payment method

The 19,800 collected is not one number but 4: cash 6,200, card 9,100, bank transfer 3,000, payment link 1,500. Each has a place it must reconcile to.

Cash reconciles to the drawer. Card reconciles to the terminal's closing report. Transfers reconcile to tomorrow's bank statement. Links reconcile to the payment gateway dashboard.

A difference in any of them has a name: which invoice was recorded as cash and paid by card, or the reverse. A system that records the payment method on every invoice gives you that name in a second.

Petty expenses from the same till

Water, stationery, delivery fees and urgent consumables are paid from the drawer. If they are not recorded at that moment, the drawer is short in the evening and nobody knows why.

Every expense from the till is a line: amount, type, who spent it, and a photographed receipt if there is one. When the shift closes, expected cash = opening float + cash collected − expenses. One number to compare with the count.

Shifts and accountability

If reception runs two shifts, each shift has its own closing. Whoever opened records the float, whoever closed records the count, and the difference is attributed to a specific shift, not to "the day".

That is not suspicion of staff. It is protection for them. A difference not attributed to a shift is attributed to everyone.

Closing in 15 minutes

Count the cash and enter the number. Print the card terminal's closing and compare it with the card figure in the system. Review the recorded expenses. Confirm any differences with a written reason. Move the cash to a deposit or main treasury as a recorded movement.

What makes it 15 minutes is that the numbers are ready from invoices recorded all day. A closing that needs invoices gathered from a book takes an hour and gets postponed.

The next morning: what the owner sees

3 lines per branch: collected by payment method, the till difference by shift name, and new receivables. Read on a phone in two minutes before the branch opens.

A recurring difference on one shift, or petty expenses growing every week, show up here before they become a problem.

The deposit and the bank statement

Cash that accumulates in the drawer for days gets lost. A deposit daily or every other day is a recorded movement with amount, date and who deposited it, reconciled to the bank statement later.

Bank transfers recorded by reception today are confirmed tomorrow from the statement. Anything that has not arrived within two days goes back to the follow-up list under the patient's name.

Questions

How many times a day do I close?

Once per shift. If reception runs two shifts, two closings, each with its own responsible person.

What do I do with a small difference?

Record it with its reason even if it is 5 riyals. A small recurring difference in the same direction is what deserves a question, and it is only visible if recorded.

Do I need an accountant for the daily closing?

No. Reception closes in 15 minutes from ready numbers; the accountant reviews weekly and reconciles the bank.

How do I handle refunds?

A refund is a separate movement with its payment method, reason and approver, linked to the original invoice. It is never taken out of the day's cash without a trace.

What about branches?

Each branch has its own till, closing and deposit. The owner sees all branches on one page in the morning, and each branch alone with the same click.

Does closing need internet?

It needs the invoices to have been recorded through the day. If they were, the closing itself is minutes on any device.
