Patient reviews and Google: how to ask, when, and how to answer the negative ones

The angry patient writes their review on the way to the car. The satisfied patient writes nothing unless asked at the right moment. A clinic's Google rating is simply the difference between those two behaviours, and which one you built a system for.

Why reviews matter more than advertising

A new patient searches for the clinic on Google before calling, and reads the last 5 reviews, not the average. 5 recent reviews with real detail convince more than 200 reviews two years old.

A review works twice: once for the next patient, and once for you, because it is the most honest report on reception, waiting and the doctor that you will ever get for free.

The right moment to ask

Two to 24 hours after the visit, on WhatsApp, in the doctor's name. Not at payment, when the patient is busy, and not a week later, when the impression has cooled.

In package clinics the best moment is after the session where the result shows, not after the first. The doctor knows which one, and marks it.

The request is sent automatically by the system after the visit is recorded, not by a staff member who remembers. What is left to memory is sent in the first week and then stops.

A short survey first, then Google

The first message is one question: how was your visit today, from 1 to 5. The answer is recorded on the patient file and attributed to the doctor and branch.

Then everyone is invited to leave a public review on Google. Withholding the invitation from the unhappy breaks the platform's policy and gets detected. The difference is that the unhappy patient heard you ask first, and got a call before reaching Google, which is usually enough.

A low score alerts in real time

A 1 or 2 opens an immediate alert to the branch manager, with the patient's name, number and visit. A call within the hour turns most complaints into a patient who tells people how the clinic apologised.

What recurs is read monthly: waiting at one branch, reception on one shift, a doctor who listens less than they should. Reviews in this form are an operations report, not a marketing number.

How to reply to a public negative review

Quickly, briefly, and without data. Do not mention the patient's full name, diagnosis, visit date or what they paid, even if they did. The public reply is read by everyone, and medical confidentiality does not lapse because of a review.

The formula that works: thanks, an acknowledgement that the experience was not what it should have been, and an invitation to contact a number directly. Three lines. Arguing in public loses even when you are right.

Reply to good reviews too, with one sentence, different each time. The next patient reads whether the clinic replies, not what it says.

What not to do

Do not buy reviews, do not ask staff and their relatives, do not offer a discount in exchange. Platforms detect the patterns, patients detect them faster, and removal of fake reviews sometimes takes real ones with it.

Do not ask for a review from a patient in the middle of an open complaint. Resolve the complaint first, then ask.

What you measure

Survey response rate, its average per doctor and branch, new Google reviews per month, and average time to respond to a low score.

The last number is the one that improves first and pulls the rest behind it.

Questions

Can I send only satisfied patients to Google?

No. Platform policies forbid it. Ask everyone internally first, then invite everyone to review publicly. The difference is that the unhappy patient got a call before that.

How often do I ask the same patient?

Once per visit, and no more than once every 3 months for someone in a long package. Repetition reads as nagging and lowers the score.

Should I reply to every review?

To every negative one within 24 hours, and to positive ones with a sentence. The next patient reads whether you reply.

What if the review is false?

Reply with the same formula, calmly and without detail, and report it to the platform if it breaks their policy. Do not confirm or deny that they were a patient; that is medical data.

Is the review attributed to the doctor?

Internally yes, per doctor, branch and shift. That is what makes it useful for operations, and what makes it sensitive, so it is read with the doctor, not pinned on the wall.

Do I need a separate tool for this?

You need the request sent from the clinic system after the visit, and the answer recorded on the patient file. A separate tool forgets who visited and when.
