Online booking for clinics: what to open to patients and what to keep at the desk

Most reception calls are one question: when is there an appointment? Online booking answers it without a call. But a clinic that opens its whole schedule to everyone quickly discovers why reception asked 3 questions before booking.

What online booking actually does

It turns demand that arrives at night, from Instagram and Google Maps, into a booking instead of a message waiting for the morning. It frees the phone for calls that need a human. And it makes every booking confirmed and reminded automatically, because it entered the system from the first moment.

What it does not do: it does not know this patient needs 40 minutes rather than 20, that this case needs a consultation before the session, or that Dr. Sara does not take new cases on Thursdays. Those are set up before the door opens.

Open the standard services, keep the complex ones

First consultation, follow-up, a session from a purchased package, a routine check: services with a fixed length that need no decision. These open.

Procedures, sessions on limited devices, cases that need assessment first: these appear as a request, not a booking. The patient picks a preferred time, and reception confirms after a call.

The difference on the booking page is one word: "Book" or "Request an appointment".

Every service has its length, every doctor their rules

An online appointment takes the length set for the service, not one default length. The first consultation is longer than the follow-up, and a new doctor may need more time than a colleague.

Each doctor has what is open in their name: the services they accept online, the days, and the share of the schedule available for self-booking. Opening 60% of the schedule and keeping 40% for reception protects urgent slots and long-standing patients.

Room and device together

In an aesthetics clinic a laser session needs a doctor, a room and a device at the same time. Online booking that only sees the doctor sells the device twice.

Proper booking checks all three before showing a time to the patient. That is the difference between a clinic appointment system and a generic calendar with a link.

A deposit separates the committed from the undecided

A free booking made at midnight is easy to cancel in the morning. A small deposit, deducted from the session, refunded if cancelled before 24 hours, changes booking behaviour.

Apply it to services where a no-show costs the most: long sessions, devices, the doctor with a full list. The routine check stays deposit-free.

Payment happens in the same link and is recorded on the patient file before they arrive.

Confirmation and reminders on WhatsApp, from the system

An online booking not followed by a WhatsApp confirmation within a minute feels to the patient as if it never happened, so they book again by phone. Reception ends up with two appointments for one patient.

Confirmation is immediate, reminders go a day before and hours before, with confirm or cancel from the message itself. An early cancellation opens the slot to the waiting list.

Where the booking comes from

A link in Instagram, a button on Google Maps, the booking page on the clinic's website, a QR code on the card and in the waiting room. Most important, the system records the source with every booking.

Because the question at month end is not how many bookings came online, but which channel brings patients who turn up and complete. The answer needs the source on the booking from the start.

What stays with reception

Non-standard cases, the patient who wants a human, complex rescheduling, the waiting list. That is better work than answering "when is there an appointment?" 80 times a day.

Reception sees online bookings in the same schedule, not in a separate inbox, and reviews them each morning like any appointment.

Questions

Can the patient book with any doctor?

With whoever's schedule you opened for self-booking, and for the services you set for them. Everything else arrives as a request that reception confirms.

What if a new patient books a service that does not suit them?

That is why the first consultation is open to new patients, and sessions to those with a file and a plan. The system tells the two apart by mobile number.

Does a deposit put patients off?

It puts off those who were not going to come. It applies to services where a no-show is costly, is deducted from the session, and refunded on early cancellation.

Do I need a website?

You need a booking link. It goes in Instagram, Google Maps, WhatsApp and on a QR code, whether you have a website or not.

How do I prevent double booking?

The system checks doctor, room and device together before showing a time, and online and phone bookings live in one schedule.

Does online booking work for several branches?

Yes. The patient picks the branch first and sees only that branch's schedule. Their file is one wherever they book.
